Most teams do not lose work because nobody cares. They lose it in the handoff between a message, a quote, a schedule change, and the person who should follow up.
Start with the path, not the tool
Write down the actual sequence: a lead arrives, someone qualifies it, an estimate is prepared, a customer responds, work is scheduled, and an invoice is sent. Mark where information changes hands. The weak point is often the moment when the next action exists only in somebody’s memory.
Look for three signals
- A customer replied, but no owner is visible.
- A quote exists, but nobody can tell whether it is aging or intentionally paused.
- The job is complete, but billing still depends on a separate reminder.
The smallest useful fix
Create one reviewable queue with four fields: current stage, next action, owner, and missing detail. The goal is to make the next handoff harder to lose.
